Keep an evidence trail when returning an online order

The parcel has left your hands, but the order page still says “awaiting return”. At that point, a folder containing the return reference and posting receipt is more useful than trying to remember which email held the instructions.

Start the record before sealing the box

Keep the order confirmation, the seller’s return authorisation or instructions, and the relevant deadline together. Check the address and method the seller asks you to use. Do not assume the address on the original delivery label is the correct returns destination.

As a practical record, you can photograph the item and its packaging before closing the parcel, without including unnecessary personal information. Such a photograph is not a guarantee that a dispute will be resolved in your favour; it simply records what you prepared.

Keep the handover evidence

The Post Office’s guide to returning online shopping recommends retaining confirmations, reference numbers and proof of posting or collection. Use the service and instructions appropriate to the return, including any required tracking or cover.

A prepaid label does not remove the value of a receipt. Save the tracking reference in the same record as the order, and check that the receipt belongs to this parcel rather than another one handed over at the same visit.

For a hypothetical two-item return, note whether both items were authorised in one parcel and keep the corresponding references. If the seller expects separate routes, combining them without checking can make the administrative trail harder to follow.

Follow up with a timeline

If the status stalls, send a concise account: order reference, return approval, handover date, tracking reference and the issue you want checked. Avoid repeatedly opening unrelated support conversations that separate the evidence.

Return rights, deadlines and responsibility vary with the reason, seller and jurisdiction. Seek appropriate consumer advice if the matter remains unresolved. A delivery scan is not automatically the same as a processed refund, so track those milestones separately.

Once the refund is correctly received, close the record according to your normal retention needs. The habit is to preserve the chain from instruction to handover to resolution while it is still easy to do.
